    See below for answers to some of the most commonly asked questions and information that you need to know!
     

    Our Ask for Your Help!
    Many of our attendees are SHRM and/or HRCI-certified and look forward to receiving recertification credits when they attend this event. Your session was pre-approved for credits and we will be sharing that information with attendees in multiple formats. As you put the finishing touches on your presentation, if you’d be willing to add the credit information to one of your final slides, that would be super helpful for attendees that may wish to take a photo of the credit slide for their records. The credit information will be emailed to you ahead of the event. Many thanks in advance!
     
    Virtual Presentations
    We are requesting pre-recorded virtual presentations from our breakout session speakers by September 9. Conference attendees will have access to these recorded sessions for credit and review for 90 days following the event. YouTube and Vimeo links to pre-recorded videos are preferred! MP4 files are also accepted. If you have questions about recording your session, please let us know!

    Onsite/Questions?
    We will have a speaker check-in table near attendee registration inside the front doors of the Keystone Conference Center. Please check-in with us at least 30 minutes prior to your presentation so we know you have arrived and can answer any questions you may have. Please plan to arrive to your assigned room at least 15 minutes before your presentation time.
    Sarah Martens, COSHRM's Executive Director, will be available onsite throughout the duration of the conference. If you need assistance, please don’t hesitate to text or call her on her cell: 303.834.0121. We will also have volunteers onsite to assist you upon your arrival and serve as your room host throughout your presentation.

    Hotel Information
    Hotel information including check-in and check-out dates, and confirmation number will be sent in an email the week of September 2 from Sarah Martens. If you need that information again, please email info@coshrm.org

    Download the COSHRM app and review/update your profile
    The 2024 COSHRM State Conference will be using the Whova event app. The app is free and provides the most up-to-date information about the event – including the date, time and room name for your presentation. Please take a moment to review/update your profile as it will be how the attendees view and engage with you at the event. You can also view the full agenda on coshrmstateconference.org.

    Your presentations
    Presentations should be in the spirit of education and should NOT be a business sales pitch. We do not require your presentations be sent to us ahead of the event or be on a particular template. Please plan to arrive with your presentation on a thumb drive, in your email, in the cloud or all of the above! We hope you're willing to share your presentation slides with attendees. You can upload them as a PDF within the Whova event app before or after the event. If you have questions about how to do it, we can help!
    We STRONGLY ENCOURAGE you to bring your own laptop to present! Tablets and iPad’s have a much higher chance of having problems. Make sure any special fonts, graphics, or videos are embedded into your PowerPoint.
     
    A/V and Room Set-Up
    The A/V and room set-up requests you made through online registration have been passed along to Keystone. Please know that the default room set-up is 2/3 classroom, 1/3 theater style. Note that presenters in Castle Peak breakout rooms may have a different room set-uip. As a reminder, please bring your own laptop, power cords, slide advancers, dongles, etc. We can provide these if need be, but we do not have the resources to provide a laptop and these support tools for each and every breakout session and hopefully you’ll be more comfortable using your own technology. A Keystone A/V person will come by before every breakout session to make sure you have what you need and that you feel comfortable.
     
    Speaker Evaluations
    We’d love to ask for your help encouraging attendees to complete the brief session evaluation at the end of your presentation. It’s quick and easy and done right within the app. If you’re able to mention it verbally at the end of your remarks or allow 1-2 minutes for people to complete the eval at the end of your session, that would be great! We are always trying to encourage more attendee participation and you can certainly help us do that. The results can be shared with you following the conference so it’s a value-add for you too to encourage attendees to participate. Thanks for your assistance with this!
     
    Books Sales
    If applicable, you are welcome to sell your book at the event. If your session is at the end of the day or before a longer meal break, please feel free to stay in the room and do your sales there. If you have another session starting right after yours, we ask that you take your sales outside the room so the next speaker can get set-up for their presentation. Please know that we will have a ‘Speaker Bookstore’ set-up at a designated booth within the Exhibit Hall. You are welcome to use this space to sell your books too. It will not be staffed by volunteers, but rather you will be responsible for staffing it on your own time.
